FAQ's Listings module

1. How do I add a new listing?

Select the Contracts icon in the Menu pane. Select the Listings folder in the Folders pane. Select the Add button on the program tool bar to add a new listing. The program requires that you enter the Beginning and Expiration dates before you can navigate to the next page of the listing or to any other record or module (prevents blank records).

2. How do I create a Marketing Update Report?

From Listings, select the Marketing Schedule page in the Folders pane. Select the Activity Dates tab and enter the From and Thru dates and enter a name for the report period (example: first week, first month, etc.). If you have more than one row in the Activity Dates tab select the desired Activity Dates row then select the Marketing Summary tab. Enter the appropriate information in the available fields. Select the Print button from the program tool bar to open the print dialog window. From the Reports tab select Marketing Update then select the print button to print the report. The latest report period added will always print at the top of the report.

3. How do I create a Marketing Update report in PDF format to send as an email attachment?

From Listings, select the File button in the print dialog window to print the report in .pdf format. Select the Agreement page from the Folders pane, select the Seller tab, select the Sellers row, select the grid navigation icon and the Sellers record opens. Select the Sellers email address and your resident email program opens automatically with the Sellers email address in the TO: field. Select Attach or Insert button from the email program to attach the Marketing Update file. All .pdf files created when the File button is selected are saved in the C:\ Real Estate Real Easy\Output folder. Open the Output folder and select the Marketing Update report to attach to your email.

4. When I assign Servicers to a Listing are they transferred to the Sales contract when creating a Sales contract using the New button from the Listing's Agreement page?

After the New button is selected from the Listing you are prompted to transfer the Service provider information to the new Sales contract. The Service providers and amounts for their services are transferred if the Yes option is selected.

5. Is Prospect and Servicer information maintained in a Listing or Sales agreement even if I delete their records in the Prospects and Servicers modules?

Yes - You can delete a Prospect or Servicer record that has been assigned to a contract. Their contact information is still displayed in the contract and included when printing reports from the Listing. You cannot navigate from the Listing contract to their records in the Prospects or Servicers module as their record no longer exists. Real Estate Real Easy maintains the Prospect and Servicer information in both Listings and Sales contracts to maintain the contract's documentation.

6. The Bookmarks pane is disabled while on the Agreement page. How can I use a Bookmarked Prospect?

Prospects in the Bookmarks pane are only available for use from the Agreement page when your cursor is placed in the number field of Address line one for the listed property, or the Prospect field in the Seller's tab.

7. How do I enter a property address in a Listing contract?

From the Listing's Agreement page place your cursor in the number field of address line one then select the bookmarked Prospect from the Bookmarks pane. If you did not Bookmark the Prospect's record select the small Search button in the Bookmarks pane header to open the Bookmarks search window. Type in the last name of the Prospect then select the Find button. Select the Insert button in the Bookmarks Search window to insert the selected record into the address fields. If the search does not find the desired Prospect's record return to the Prospects module and create a record for the Prospect. From the Prospects record select the Bookmarks Add button to add the Prospect to the Bookmarks pane. Return to the Listing contract, place your cursor in the number field of address line one then select the Bookmarked Prospect.

8. The property listed is a non-owner-occupied property. The Seller's record contains their mailing address, not the listed property. How do I get the listed property address in the address field?

There are three ways to enter an address (listed property), into a listing contract.

A. Enter manually from your keyboard. (This method does not link the listing contract to a Seller's record).

B. Use a Bookmarked Prospect as explained in the preceding FAQ.

C. If an APN Farm file was imported and you selected to create Tenant records for all non-owner-occupied properties the selling property has a record listed in the Owner's record Property tab as a Resident record. From the Seller's record Property tab select the selling property row. Double click the selling Property row or select the grid navigation icon in the upper left hand corner of the Property tab grid to open the selling property record. In the selling property record (site address), enter the Seller's name (replacing Resident), then select the small Add button in the Bookmarks pane header to add the record to the Bookmarks pane. From the Listings module, place your cursor in the number field of address line one then select the Bookmarked record to auto-complete the address fields.

9. There is more than one seller for the property listed. How do I add additional sellers to a Listing agreement?

On the Listing Agreement page, Seller tab, select the small Add button to add a new row. You may add as many rows as needed for assigning multiple Sellers to a Listing agreement. Each seller should have their own record in the Prospects module.

10. I am sharing my listing with another agent. How can I add their contact information to the listing?

On the Listing's Agreement page, Agent/Broker tab, select the small Add button to add a new row. Select the new row to display the pull down arrow. Scroll to then select the agent sharing the listing to assign their record to the contract. Their record must be in the Servicers module and assigned the category of Agent/Broker or their record will not be available in the drop down menu for selection.

11. While in Listings, how can I be sure I am not making a conflicting appointment. How do I open the Day Viewer from the Listings modules?

Select the Date button on the program tool bar to open the Calendar Tool. Double click on the desired date in the Calendar Tool and the Day Viewer opens to display that day's appointments. You may select any date on the Calendar Tool to view appointments for the selected day. Use the Date tool and the Day Viewer together to prevent making conflicting appointments.
