FAQ's Prospects module

1. How do I save records?

There is no requirement to save records. To insure your data is safe Real Estate Real Easy® automatically saves a record when you navigate to another record, module or add another new record. Saving automatically insures that the most information that can be lost if there is a power or PC failure is some or all of the information in the last record you were working on.

2. What is the maximum number of phone numbers a Prospect record can have?

There is no practical limit to the number of phone numbers a Prospect record can contain.

3. How do I put a Prospect's record into a folder or folders in the Folders pane?

Organizing Prospects into specific folders is "real easy". In the Prospect Information section of a Prospect record place a checkmark in the Prospect, Buyer, Seller, Active, Past Client or Personal check boxes and the record is automatically placed in the corresponding folder. To place a record in a custom Farm folder select the Farm 1: Farm 2: or Farm 3 pull down arrow to display a list of all custom Farm folders. In a Farm pull down list scroll to and select the desired Farm folder name to to place the record in that Farm folder.

4. How many Farms folders can I assign a Prospect to?

A prospect record contains three Farm drop down lists with all Custom farm folders you have created. You may assign the Prospect's record to Custom farm folders in all three fields for a maximum of three Custom farm folders.

5. How do I create Custom farm folders?

In the Prospects module select the Customize button at the top of the Folders pane to open the Customize window. Select the Add button in the Customize window to add a new row. Enter the name of the new farm folder. To delete a Farm folder select the Farm row to delete then select the Del button on the Customize window. To edit a Farm name select the name and type in the new name. When the Customize window is closed the Folders pane is updated automatically.

6. My Farm folder contains three folders, Custom 1, 2 and 3. How can I Add, Delete or Edit a Custom Farm folder?

In the Prospects module select the Customize button at the top of the Folders pane to open the Customize window. Select the Add button in the Customize window to add a new row. Enter the name of the new farm folder. To delete a Farm folder select the Farm row to delete then select the Del button on the Customize window. To edit a Farm name select the name and type in the new name. When the Customize window is closed the Folders pane is updated automatically.

7. What happens to Prospect records assigned to a custom folder if I delete the folder?

When a Custom farm folder is deleted from the Customize window all Prospects assigned to that folder are deleted unless they are assigned to other folders including custom Farms, Active, Contracts or Personal.

8. What are Bookmarks and what are they used for?

Active Prospects are added to the Bookmarks pane allowing their record to be opened quickly when their Bookmark is selected. Select a Bookmark in the Bookmarks pane to open that Prospect's record. In the appropriate fields in Contracts and Forms selecting a Bookmarked Prospect will automatically populate the field or fields with the Prospect's contact information.

9. How do I add a Prospect to the Bookmarks pane?

Open the Prospect's record you wish to Bookmarks. Select the small Add button in the header of the Bookmarks pane. If the Prospect record is already bookmarked the Add button will change to a delete button, allowing deletion of that record from the Bookmarks pane.

10. How can I send a letter created in the Tools module to Prospects in a selected Farm folder as bulk email?

Select the Tools icon in the Menu pane. Select the Letters folder in the Folders pane then select the desired letter to display. Select all text in the letter then select the copy button. Select the Prospects icon in the Menu pane. Select the Search button from the program tool bar. Select the desired farm folder in the Folders pane. Place a checkmark in the Select column to select all Prospects in the folder. Select the Email button to open your resident email program. All email addresses for the Prospects selected in the search window are placed in the email's BCC: field. Paste the text copied from the Tools module into the comments field of the email. Select the send button and the Email is sent to all Prospects selected in the folder that have an email address and have a checkmark in the Email OK? checkbox.

NOTE: There is a limit to the number of email addresses (approximately 75), that can be entered in the Microsoft Outlook BCC: field. In addition there are limits to the number (25-50) of email addresses an email server will process. Check with your internet provider to find out how many email addresses your ISP will process in one email.

11. I miss-spelled a city in the city field. How do I change it?

Select the miss-spelled city to display in the City pull down list. Select the city text then select the backspace or delete key on your keyboard to delete the city. Enter the correct spelling for the city name.

12. Can Prospect records be sorted from the Prospect Search window?

Yes - While in the search window select a folder in the Folders pane. All Prospects assigned to that folder are listed and all other records not assigned to the selected folder are excluded from the search results.

13. How do I close the search screen?

Select the Search button from the program tool bar to open the Search window. Select again to close or double click on a Prospect record row to open that record.

14. How do I export Prospect records for import into my Palm Pilot or other handheld portable device (PDA)?

You can export Prospect records using the System module .csv / .dbf file format export utilities. Select the System icon in the menu pane. Select the Export folder in the Folders pane, select the .csv/.dbf export utility. Follow the instructions on the screen or view the System Utilities movie in the Tutorial section on our web site. Once exported, the Prospect records can be imported into a handheld using the import utility provided with your handheld. The PDA desktop program must have the ability to import .csv and/or .dbf file formats. Most handheld's have import/export utilities to do this.

15. How can I be sure I am not making a conflicting appointment. How do I open the Day Viewer from the Prospects, Servicers, Forms and Contracts modules?

Select the Date button on the program tool bar to open the Calendar Tool. Click on the desired date in the Calendar Tool and the Day Viewer opens to display that day's appointments. You may select any date on the Calendar Tool to view appointments for that day. If you elect to set a reminder or recurring schedule for the new appointment, the Recurrence dialog wiindow will display a conflicting appointment warning if the new appointment conflicts with an existing appointment.

16. Can I print multiple documents in one print session?

Yes - Select the Print button on the program tool bar and the program automatically selects the most logical Report, Form or Tool to print. You do not have to place a checkmark in a program selected document if it is highlighted and it's the only document you wish to print. If you wish to print additional documents from the Reports, Forms and Tools tabs in one print session place a check mark in the desired document rows (right end of row) to select. Select the Selected tab to view all documents selected for printing. Click on a selected document's check mark to de-select. Select the Print button on the print dialog window to begin printing. Select the File button to print to file in .pdf format.

17. How do I enter text in the comments area of the Fax form?

From a Prospect or Servicer record select the Print button on the program tool bar to open the print dialog window. On the Form tab select the Fax row. The Text button is now enabled. Select the Text button to open the Fax comment window. Enter your comment then select the OK button. Select the Print button to print the fax with the comments you entered. A fax printed from a Prospects or Servicers record automatically completes the name, phone and fax number fields.

18. What is Content Sensitive Help?

Select the Help button on the Program Tool Bar to open help specific to the window currently open in the program. Select a field, section or button in the Help image to display immediate help for that field, section or button.
